How to prepare a study plan
Preparing a study plan for the exchange application is similar to the study plan that a student usually prepares for the faculty. The student needs to:
- obtain written approval from the departmental adviser
- ensure all subject choices will fulfill all course requirements
Step 1 Select subjects at the host institution
- Students need to list the subjects they plan to take at the host institution, including title, subject code and credit value.
Step 2 Work out credit equivalents
- Students need to work out the equivalency of University of Melbourne points to credits at the host institution using the Credit Load Equivalent Table.
- 37.5/50 points each semester or 87.5 /100 points each full year need to be completed.
Step 3 Gain departmental approval
- All subjects to be taken at the host institution must be approved by the appropriate departmental adviser. This includes subjects taken as electives, or towards the balance of points in some double degrees.
- The relevant departmental adviser needs to determine whether the subject offered by the host institution is equivalent to a University of Melbourne subject in terms of:
- the equivalent year level of the subject
- the equivalent University of Melbourne subject (if any)
- When there is no equivalent University of Melbourne subject available, departmental advisers will determine that 'unspecified' credit should be provided at the equivalent year level.
- Students can obtain an 'Application to vary major' form from the Science Student Centre.
Step 4 Submit the application
- An application should only be submitted when all sections are filled in and the student has signed the application.
Step 5 Gain faculty approval
- It is the responsibility of each student to check their GPA and create a study plan. If assistance is needed, the Faculty Global Mobility Officer will provide guidance.
- The application will be forwarded to any other relevant faculty then to Melbourne Global Mobility for approval.
- If the application is approved, the student will receive a letter from the faculty in support of the student’s exchange application.
Step 6 Check the application status and planning to go overseas
- Initially the student’s application will be supported (or rejected) by the Faculty of Science. Approved applications are sent to Melbourne Global Mobility.
- Melbourne Global Mobility will then nominate the student to the institution/s preferred by the student. Students need to apply for more than one institution as acceptance by the University of Melbourne does not guarantee acceptance at the host institution.
- The student’s application will be considered by the host institution.
- Melbourne Global Mobility will notify the student of the outcome of the application process and post the status of applications on their website.
- If an application has been accepted, students should read the information about what to do next.
Step 7 Re-enrolment and fees
- Once a student's application has been accepted by a host institution and a place is confirmed, the student's University of Melbourne enrolment will be amended to record the exchange period for the relevant semesters.
- Students should contact the Faculty Global Mobility Officer if they change the proportion of subjects to what they had originally planned so that their enrolment remains current and accurate.
- Students should be aware of the fees charged for subjects studied and ensure they re-enrol as an exchange student for the period they will be away.
